HIPAA / PHI Security Training Terms

Terms for HIPAA / PHI Security Training pages, individual seats, group purchases, access codes, completion certificates, and support services.

Effective Date: June 4, 2026

1. Agreement and Scope

These Terms govern access to and use of HIPAA / PHI Security Training services, including public landing pages, pricing pages, contact forms, individual training seats, group-purchase requests, access-code programs, training workflows, quizzes, certificates, and certificate validation features.

By accessing or using the service, purchasing a seat, submitting a group-purchase request, using an access code, or completing training, you agree to these Terms and the Privacy Policy.

2. Nature of the Service

The service provides educational HIPAA / PHI security-awareness training and a completion quiz. It is intended to support workforce awareness and organizational training operations. It is not legal advice, compliance consulting, a complete HIPAA compliance program, or a substitute for organization-specific policies, training, supervision, or professional guidance.

3. Eligibility and User Responsibilities

Users must provide accurate information and use the service only for lawful purposes. Learners are responsible for completing training honestly and without unauthorized assistance. Organization purchasers are responsible for confirming that the training is appropriate for their workforce, contractors, business associates, or sponsored learners.

4. Individual Seats, Access Codes, and Group Purchases

  • Individual seats provide access for one learner unless otherwise stated.
  • Group purchases may include prepaid access codes, staff intake links, completion reporting, and optional certificate logo support.
  • Access codes may be limited by seat count, expiration, organization eligibility, email-domain rules, or other setup requirements.
  • Purchasers must provide accurate billing, organization, reporting-contact, and setup information.
  • Pricing and included seats may be snapshotted when a request, invoice, or payment link is created.

5. Payment, Billing, and Refunds

Payment may be collected through checkout, invoice, prepaid access-code setup, or another approved billing path. Approved refunds, if any, are issued to the original payment method or handled through the applicable billing arrangement.

Once a seat, access code, training workflow, quiz attempt, certificate, reporting setup, or group-purchase setup has been used or activated, the purchase may be non-refundable except where required by law or expressly approved in writing.

6. Training, Quiz Attempts, and Completion

Learners must review required training materials and complete the quiz workflow. Passing requirements, retest limits, cooldown periods, and certificate availability may be displayed in the training or pricing materials and may change for future purchases or renewals.

Completion status is based on the system records for the applicable learner, seat, access code, and quiz workflow.

7. Certificates and Validation

Certificates reflect completion of the training workflow and successful quiz performance. A certificate does not prove full organizational HIPAA compliance, legal compliance, employment eligibility, professional licensure, or authorization to access PHI.

Certificate validation may be available through a verification code or certificate link during the active validation period. Misrepresenting, altering, sharing, or using certificates in a misleading way is prohibited.

8. Organization Reporting

For organization-sponsored or group-purchased seats, authorized organization contacts may receive completion reporting. Reporting may include learner identity, organization, access-code association, status, completion date, pass/fail status, score, certificate expiration, and certificate validation link when available.

Organizations are responsible for giving any notices, obtaining any consents, and maintaining any workforce or contractor policies required for their use of completion reporting.

9. Privacy, HIPAA, and PHI Responsibilities

Information handling is described in the Privacy Policy. The service is designed for HIPAA / PHI security-awareness training, but it does not make every user, purchaser, or piece of information subject to HIPAA. Covered entities, business associates, employers, sponsors, and other organizations remain responsible for their own privacy, security, authorization, and compliance obligations.

10. Acceptable Use

You may not:

  • Submit false, misleading, or unauthorized information.
  • Use another person's identity, access code, certificate, or payment information without authorization.
  • Attempt to bypass training, quiz, payment, access-code, or reporting controls.
  • Interfere with service security, availability, or integrity.
  • Use certificates, reports, or validation links in a deceptive or unlawful manner.

11. Communications

You consent to receive service-related communications electronically, including purchase confirmations, access-code setup messages, training reminders, certificate messages, group-purchase updates, and support responses. SMS may be used where enabled and consented to. Message frequency may vary.

12. Intellectual Property

Training materials, quiz content, page content, certificates, designs, trademarks, and related materials are protected by intellectual property laws. You may use them only as permitted for training completion, organization administration, reporting, or certificate validation. Copying, resale, redistribution, scraping, or unauthorized derivative use is prohibited.

13. Service Availability and Changes

The service may be updated, suspended, interrupted, or modified for maintenance, security, operational, compliance, or business reasons. Features, pricing, training content, certificate formats, reporting fields, and support paths may change over time.

14. Disclaimers

The service is provided "as is" and "as available" to the fullest extent permitted by law. No warranty is made that training content will satisfy every employer, regulator, contract, credentialing body, or internal compliance requirement. Organizations should review the service for fit with their own policies and legal obligations.

15. Limitation of Liability

To the fullest extent permitted by law, liability for indirect, incidental, consequential, special, punitive, lost-profit, business-interruption, data-loss, or compliance-program damages is disclaimed. Some jurisdictions do not allow certain limitations, so some limitations may not apply.

16. Indemnification

You agree to defend, indemnify, and hold harmless the service operators, vendors, and affiliates from claims arising from your misuse of the service, violation of these Terms, inaccurate information, unauthorized use of access codes or certificates, or violation of applicable law.

17. Termination or Suspension

Access may be suspended or terminated for suspected misuse, nonpayment, security concerns, policy violations, inaccurate information, or violation of these Terms. Organization access-code programs may also be suspended if eligibility, payment, or reporting requirements are not met.

18. Changes to These Terms

These Terms may be updated from time to time. The updated effective date will be posted on this page. Continued use of the service after changes are posted constitutes acceptance of the updated Terms.
